Health Data Movers (HDM) is working on a complex project with a prominent Academic Medical Center, transitioning their finance and supply chain systems from legacy systems to Workday. Complex System Implementation Project 

Transitioning from legacy systems to Workday while implementing a finance and supply chain solution is significant for any organization. HDM recently undertook this type of implementation, which involves a meticulous process of discovery sessions, requirement gathering, data conversion, and new integrations to ensure a seamless transition to the new system.  

  • Project Scope and Timeline: Implementing Finance and Supply Chain, transitioning from legacy systems to Workday. The project includes discovery sessions, requirement gathering, data conversion, and new integrations. The Go-live date is in the Fall of 2024, and the project is on track. 
  • Integration Focus: The main focus is on new integrations, design documents, and unit testing. Challenges include managing expectations and scope and discovering all integrations on the client side. 
  • Team and Mitigation: The team comprises four client-side members and an offshore team. Mitigation strategies involve addressing conflicts in design, managing scope changes, and potentially reducing the number of integrations.

Mitigation strategies are in place to address conflicts in design, manage scope changes, and potentially reduce the number of integrations to streamline the process. The HDM team interacts with the offshore resources weekly to ensure alignment and address any questions or concerns that may arise.

A significant focus of the project lies on new integrations, design documents, and unit testing. The HDM team was tasked with building the new integrations, participating in research and requirements meetings, and ensuring the business signed off on design documents. Despite the challenges of managing expectations and scope, the team remains proactive in addressing conflicts in design and scope changes to keep the project on track. 

Key Achievements – So Far 

One of the key achievements of the project is the reduction of integrations from 20 to two, resulting in significant time and cost savings for the university. The HDM team identified this reduction, showcasing their expertise and commitment to finding efficient solutions for the client. Despite initial challenges and conflicts, the project is now poised for success, with a clear roadmap and timeline for completion.
